We are looking for a reliable and precise professional to help us properly maintain our payable information. The Staff Accountant will maintain accounts payable and assist in invoicing functions in a fast-paced, team oriented environment. We are seeking an experienced candidate who can analyze expense reports to assign payments, work with vendors to resolve past due invoices and reconcile monthly statements with vendors.

Essential Duties and Responsibilities include the following:

  • - Analyze invoices for correct company coding, general ledger account, departmental approvals, sales/use tax and appropriate back-up documentation.
  • - Scan all invoices into Sage 100.
  • - Administrator for Concur - create monthly American Express reports, providing purposes for charges, choosing the type of expense, and providing corresponding receipts to all transactions.
  • - Communicate with sales team with information regarding Concur and the corresponding transactions that should be added to necessary monthly reports.
  • - Review cardholders’ monthly Concur reports before processing to ensure proper type of expense chosen for correct account coding.
  • - Create and modify Excel spreadsheets downloaded from the American Express website to keep up with everyday transactions and enter individual charges as invoice data entry in Sage 100.
  • - Review check requests for appropriate approvals and compliance with expense policies.
  • - Perform vendor file maintenance in A/P system.
  • - Track monthly expense reports to ensure company policy compliance.
  • - Assist accounting with month end closing.
  • - Matches check stub with corresponding invoice(s) to ensure accuracy of invoice number and amounts

  • - Reconcile corporate credit card account transactions while communicating with cardholders to provide receipts and/or documentation to verify legitimacy of charges.
  • - Communicate with vendors to resolve any invoices with discrepancies in order to process payments efficiently and in a timely manner.
  • - Create monthly Excel spreadsheets regarding corporate credit card usage by cardholders along with categorization of expenses and report to management
  • - Create Excel spreadsheets after company trips with sales team for conventions with a detailed report on total money spent by each individual along with categorization of each expense
  • - Answers all vendor inquiries.
  • - Obtain Vendor W-9 for all new vendors set up in the system.

Qualifications and Requirements:

Graphic Designer

Our Graphic Designer is responsible for the visual marketing elements for Event Source and Panache Party Rental. This individual will design, creatively art direct, execute and produce multi-media marketing materials for sales, marketing and human resources purposes.  We are currently looking for a candidate who is creative, can work autonomously and well with a team, can have overarching big ideas and an impeccable eye for detail. 

Essential Duties and Responsibilities Other duties may be assigned:

  • - Consults with supervisor to evaluate project needs and deadlines.
  • - Designs a variety of marketing pieces including:
    Branding elements (logos, stationery elements, product labels, etc.)

    Digital media (website, email blasts or social media graphics)
    Sales collateral (catalogs, brochures and flyers)
    Event and trade show needs (booth graphics and signage)
    Traditional advertising (print ads and direct mail)
  • - Creatively concepts marketing execution from strategy and goals to illustrations, rough sketches and printed mockups of materials according to instructions of supervisor. Can successful articulate marketing creative concepts and strategy to the marketing team.
  • - Selects, supervises, and obtains cost estimates from necessary outside vendors such as photographers, illustrators, paper suppliers, or printers. Prioritizes, tracks, handles, and maintains records of the elements, costs, and time schedules of multiple projects within quality specifications, financial constraints, and time schedule for projects.
  • - Art directs and executes all graphic designs for digital marketing needs, creative advertising campaigns, sales materials and a variety of other marketing elements.
